What is Peppol? The simple guide for entrepreneurs

In short

Peppol is a secure international network that lets invoicing software exchange electronic invoices in a standard format, whatever software each side uses. In Belgium, it is the chosen route for mandatory B2B e-invoicing from 2026. Good news: you don't need to be technical — your software handles it.

Think of the phone network. Whatever your operator and your contact's operator: your call goes through. Peppol does the same for invoices. Whatever invoicing software you and your client use: the invoice is sent, arrives, and is understood automatically.

That's the idea of Peppol: a common language and common pipes so all invoicing software talks to each other effortlessly.

What does "Peppol" mean?

Peppol stands for "Pan-European Public Procurement OnLine". Originally a project to simplify invoices to public administrations in Europe, it became the standard for exchanging business documents (invoices, orders) in many countries, governed by an international association, OpenPeppol.

In practice you don't need to remember all that: what matters is that Peppol is the standard Belgium chose.

Format + network: two things in one

Peppol is actually two elements that go together:

  • The format (Peppol BIS, based on the UBL standard): the "language" of the invoice. Data — amount, VAT, lines, details — is organised in a standardised way so software reads it directly.
  • The network: the secure "pipes" through which the invoice travels from one software to another.

How an invoice travels (simply)

The model is sometimes called "four-corner", but you only see one button. Concretely:

  • You create the invoice in your software and click "send"
  • Your software hands it to a Peppol access point (like a secure mailbox)
  • Your client's access point receives it over the network
  • The invoice lands directly in your client's accounting software, ready to be processed

Peppol is not an e-mail with a PDF

That's the most common confusion. A PDF, even by e-mail, is still an image: your client's software has to re-enter everything by hand. A Peppol invoice is structured: it is read and imported automatically. Fewer errors, faster payments, guaranteed compliance.

Why Belgium chose Peppol

  • Interoperability: everyone speaks the same language, whatever the software
  • A proven European standard rather than an isolated Belgian system
  • Fighting VAT fraud and errors, thanks to structured, traceable data

Do I have to register or buy something?

You don't have to deal with the Peppol network yourself. You simply need Peppol-compatible invoicing software: it registers you on the network and sends your invoices via an access point.

In other words, the only real decision is choosing the right software — one that issues natively in Peppol / UBL, without you touching the technical side.

Is Peppol free?+

The Peppol network itself is not a subscription you pay directly. You go through compatible invoicing software; the cost is that of the software. With Afrimo, Peppol sending is included from the Pro tier.

Are Peppol and UBL the same?+

Not quite. UBL is a standard file format for business documents. Peppol BIS builds on UBL and adds precise rules, plus the exchange network. In short: UBL is the language, Peppol is the language + the pipes.

Do I need to know my "Peppol number"?+

In Belgium, your identifier on the network is usually based on your company number (CBE). Your software takes care of it at registration; you have nothing to memorise.

Is it mandatory for me?+
